*Position Summary: *
providing strategic and administrative support to our CEO, Executive Leadership Team (ELT) and Board of Directors. You will be detail-oriented, possess excellent communication skills, and have the ability to multitask in a fast-paced environment. You will play a key role in ensuring the smooth operation of our Executive and Board office.
You will also provide leadership and guidance to our Administrative Assistant/Receptionist, including guidance for agency meetings and communication. You will plan and coordinate the Annual General Meeting and other special events. You will develop and maintain positive relationships with vendors, partners, funders, colleagues, volunteers, donors, board members, and clients.
*Responsibilities:*
* Prepare and organize documents, reports, and presentations for executive and board meetings
* Screen and prioritize incoming communications, including emails, phone calls, and mail
* Coordinate logistics for meetings and events, including booking venues, arranging catering, and preparing meeting materials; this includes Board meetings
* Manage and maintain executive schedules, including scheduling meetings, appointments and travel arrangements
* Conduct research and compile data as needed for various projects and initiatives
* Provide leadership and guidance to the Administrative Assistant
* Provide support in the creation of communication/marketing material, including the Annual Report
* Be a positive ambassador for the agency, both internally and externally
* Maintain confidentiality and handle sensitive information with discretion
* Operate administrative functions within approved budget guidelines
* Organize and maintain electronic filing systems
* Support the CEO, ELT and Board with other projects/tasks as needed
*Qualifications / Skills:*
* A bachelor?s degree in business administration or a related field is preferred
* Proven experience (a minimum of five years) as an Executive Assistant or similar role
* Previous experience working in a corporate or executive office environment, including with a Board of Directors
* Previous experience working in the community sector an asset
* Exceptional interpersonal, verbal, and written communication skills, including the ability to deal with difficult situations
* Excellent organizational and time management skills including the ability to prioritize tasks and meet deadlines
* Maintain a high-level of discretion relating to confidential information including the ability to work well under pressure and manage sensitive subjects
* Strong attention to detail and accuracy
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPo
