Salary:Starting at $67,910Duties and Responsibilities: Responsible for the MD?s reception such as: Accept and receipt payment for municipal goods and services. Greeting members of the public Answering, transferring & directing calls Respond to public enquiries as required over the phone and in person Issuing dog tags Use various software including word, excel, database management and/or presentation software to prepare reports, memos, letters and other documents. Maintain and update office phones and cell phone lists of employees, the office directory and the phone systems. Assist with meeting preparation which could include document packages, meals, meeting rooms, attendance, travel, accommodations and/or pre and post meeting room clean-up. Order, maintain and operate office equipment such as copiers, mail, voicemail messaging and scanning. Research information for various special projects. Responsible for maintaining stock of office supplies, ensuring that all office supplies are listed and distributed to support efficient functioning of the office. Responsible for ordering business cards. Ensures that all hard-copy office mail, both incoming/outgoing and internal/external, is picked up and delivered, opened, stamped, and distributed. Support the records management system including maintaining archives to comply with current retention schedule and accurate data entry. Ensures all general filing is current and assists with the tracking of agreements and registration of caveats at Land Titles. Updates and maintains office manuals as necessary: Province of Alberta statute binders, the M.D. reference manual, Municipal Administrators? Handbooks, etc. Ensure the office is aesthetically cared for, including caring for the office plants, seasonal decorations, kitchens are tidy and posted public notices. For security purposes, monitor front reception, have public signing and monitor the access of visitors and verify credentials when appropriate. Weekly and monthly meeting minutes taken for the Protective Department. Assist Human Resources with event planning. Prepare deposits, do physical bank deposits in Canmore. Other duties as assigned by the Director of Corporate & Community Services. Qualifications:Minimum Grade 12. Minimum 3 years office/admin experience. Office administration course and/or government admin is considered an asset. Strong proficiency in Microsoft Programs. Exceptional Customer Service Strong written and verbal communication skills.
