JOB DESCRIPTION
*POSITION: *Administrative Assistant *REPORTS TO: *Director of Operations
Manager of Member Services
*SCOPE * The Administrative Assistant provides services to members and the staff, and general office administrative duties. The Administrative Assistant provides direct support to Project Services and Membership Services as well as general office/reception duties.
*RESPONSIBILITIES * *Administrative Responsibilities /General Responsibilities*
* Reception & general office duties: opening and closing the office, answering the phone, providing customer service at front reception, incoming and ongoing mail, managing office supplies.
* Understand VICA programs and provide accurate and timely information to members in person, over the phone and via email.
* Responsible for handling contract document sales and tracking inventory.
* Handle incoming and outgoing mail
* Handle registrations and payments for courses and events.
* Reconciliation of petty cash
* Provide in-house copy services to members
* Support office administration and operations as necessary.
* Manage supplies and equipment including large format printer supplies
* Provide support to VICA networks in Nanaimo ? U40 and WiC
* Provide support to Event Manager
* Assist events staff in prepping for events.
* Provide assistance to the CEO with preparation for the GC/TC/CI quarterly meetings
* Develop and monitor Partner programs
* Monitor/post and schedule content on VICA?s social media profiles (Twitter, Facebook,
Instagram, LinkedIn) as directed by the Marketing And Communications Manager.
*Education Administration Responsibilities *
* Set up and clean up of classroom

* Act as a back up for project services coordinator in her absence

*QUALIFICATIONS *
* Certificate in Office Administration and/or 2 years? experience in an office setting
* Proficiency and experience (1-2 years) working with MS Word, Excel, PowerPoint, e-mail, other computer programs.
* Valid BC Drivers Licence & access to reliable vehicle
*WORKING * *Interacts with employees, management, members, stakeholder and the public*
CONDITIONS located in Nanaimo, travel may be required
* Monday 8:00am to 4:00pm
* Tuesday, Wednesday, Thursday, Friday 8am ? 12:00pm additionally, vacation and sick day coverage as necessary.
* There is work outside these hours in order to accommodate activities such as after- hours events
This job description covers the Administrative Assistants direct duties and responsibilities.
However, in unusual circumstances, the Director of Operations, may assign other tasks.

Salary: $25.00/hr based on 24 hours per week $31,200.00/yearly
Medical/Dental benefits after 3 months.
Job Type: Part-time
