*QUALIFICATIONS:*
* Experience in an office setting in a reception capacity
* Knowledge of computer systems
* Familiarity and comfort with patients
* Background in customer service
* Medical terminology
* Medical office admin experience (_An asset_)
* Familiarity with Oscar, and OTN systems (_An asset_)
* *Standard First Aid, CPR-C and AED certified*

*RESPONSIBILITIES: Including but not limited to*
* Daily opening and closing procedures of the office
* Posting outgoing mail (including courier); distributing mail and faxes
* Duties assigned to the administrative staff as required by managers
* Answering phone lines including taking and responding to messages
* Booking and cancelling appointments
* Scanning and faxing documents
* Corresponding with staff and physicians
* Greeting patients, directing them to exam rooms
* Collecting payment, cash handling
* Stocking forms (Faxing Transmittal, screening questionnaires, etc.)
* Inventory / office supply monitoring
* Monitoring functionality of office equipment
* Maintaining the cleanliness of common areas including the kitchen, waiting room, computers etc.
* Maintaining office filing system (both electronic and paper files)
* Assisting staff who are having problems using office equipment, computer hardware and software, fax machine, photocopier, etc.
* Following cleaning and sanitization protocols
*KNOWLEDGE:*
* Knowledge and experience with common office equipment (e.g. multiple phone lines, fax machines, photocopiers, computers, etc.)
* Knowledge of professional reception and courteous customer service practices
* Knowledge of office suite products (Microsoft Office)
* Knowledge of the Oscar and OTN systems (recommended)
*SKILLS:*
* Excellent communication, public relations, and interpersonal skills.
* Ability to handle interactions in a professional, discreet manner, reflecting an understanding of personal health related issues and services
* Ability to resolve workplace conflict with managers and colleagues
* Time management skills, creating work plans, working to deadlines
* Demonstrates an ability to work on a team in a multi-tasking environment as well as work independently with little direction
* Demonstrates initiative, an ability to solve problems and use sound judgement in decision making
* Ability to manage stress at work
* Demonstrate capacity to synthesize and process information from many different sources
* Competence in designing/writing communicative material
* Organizational, and filing skills
* Skills in operating and trouble-shooting common office equipment
* Clear grasp on confidentiality protocols and ability to act with discretion
