*OVERVIEW*
We are seeking an energetic and organized Office Manager/Administrator to join our team. The ideal candidate will be responsible for overseeing the day-to-day and strategic administrative operations of our office as well as assisting with a wide variety of communications and creative processes.
We are looking for someone with experience and enthusiasm to both support and lead our many essential non-design responsibilities.
*RESPONSIBILITIES*
* General Reception duties; answering calls, emails, letters, updating document templates, greeting visitors and dealing with project enquiries.
* Manage day-to-day operations and appearance of the office; order and organize supplies, technology and equipment, maintain membership, registrations and software licenses, provide administrative support to firm.
* Maintain and organize files, both physical and digital, including new project set-up. Create and manage standardized forms and processes to facilitate efficient operations for the firm.
* Support business development and marketing; key role in preparing proposals, presentations, award submissions, website updates, other marketing and organize photo shoots for finished projects. Creative use of Adobe suite (especially InDesign).
* Coordinate accounting and payroll tasks.
* Maintain client and industry contacts and product library, stay informed on current projects and industry events and opportunities. Assist with preparing, submitting and researching permitting and jurisdiction codes. Research project-related issues and best practices.
* Coordinate professional and social office events with vendors and staff.
*QUALIFICATIONS*
* Strong proficiency with Microsoft Office suite (Word, Excel, Outlook and Teams).
* Professional appearance and calm demeanor; capable of consistently maintaining a high level of composure, confidentiality and job focus.
* Strong organizational skills with ability to multitask and prioritize daily workload. Excellent problem solving, organizational and time management skills.
* Excellent verbal and written communication skills.
* Interest or experience in graphic design and Adobe InDesign. Able to prepare proposals, presentations and reports, and to assist with or lead the creative design/layout of these.
Job Types: Full-time, Permanent
Pay: $48,000.00-$65,000.00 per year
