*About the Role*
We are seeking a detail-oriented and proactive Property Administrator to join our team. This role is crucial in supporting the administration and maintenance operations of our industrial properties and owner-managed units. The successful candidate will work full-time onsite at our head office during standard business hours and will be responsible for a variety of administrative and operational tasks.
*Key Responsibilities:*
* Serve as the primary point of contact for service calls and emails from unit owners and tenants, ensuring excellent customer service and prompt resolution of issues.
* Draft and manage general correspondence related to properties.
* Coordinate service calls and maintenance requests between contractors and tenants/owners.
* Provide comprehensive administrative support, including creating and tracking work orders, purchase orders, and charge-back invoices.
* Administer and prepare service contracts, ensuring all agreements are up-to-date and compliant.
* Assist in obtaining quotes, negotiating with trades, and coordinating services.
* Communicate with utility companies regarding account changes and responsibilities.
* Maintain accurate and organized tenant and unit owner files.
* Build and maintain positive relationships with internal teams (leasing, construction, accounting) and external contacts (unit owners, tenants, contractors).
* Manage and update property-related databases, including Sharepoint and Yardi Voyager.
* Ensure timely completion and tracking of periodic forms sent to owners.
* Perform additional administrative duties as required to support property management operations.
*Requirements:*
* Post-secondary diploma or degree in Business Administration, Property Management, or a related field.
* Minimum of 2 years of experience in property management administration; experience with industrial condominium properties is highly desirable.
* Advanced proficiency in Microsoft Excel and Word.
* Familiarity with Yardi Voyager and Sharepoint is a plus.
* Strong attention to detail and the ability to quickly learn new systems and processes.
* Excellent written and verbal communication skills in English.
* Proven customer service skills with a proactive and positive approach.
* Ability to adapt to changing client needs and meet tight deadlines in a fast-paced environment.
* Knowledge of the Condominium Act 1998 and other relevant legislation is advantageous.
* Ability to qualify for and obtain a CMRAO limited license.
* Strong organizational and multitasking skills with the ability to work independently and as part of a team.
* Flexible and service-oriented mindset with a solution-focused approach.
