We are looking for an experienced and dynamic Front Desk Admin/Manager to oversee the day-to-day administrative functions of our clinic.
The ideal candidate will possess strong customer service skills, be adept at multitasking, and have previous experience in a physiotherapy clinic.
Key Responsibilities:
* Customer Engagement:
* Greet and welcome patients in a professional, friendly, and engaging manner.
* Make small talk to build rapport and create a comfortable environment for patients.
* Effectively communicate and empathize with patients to understand their needs and concerns.
* Administrative Duties:
* Manage front desk operations, including phone calls, emails, and patient check-ins.
* Maintain patient records with confidentiality.
* Process billing and insurance claims, including MVA/WSIB cases, accurately and efficiently.
* Utilize practice management software (Jane) and Google Workspace tools.
* Multitasking and Organization:
* Handle multiple tasks simultaneously while maintaining a high level of accuracy.
* Prioritize tasks to ensure seamless clinic operations.
* Manage office supplies and inventory.
* Leadership and Team Management:
* Supervise and support front desk staff.
* Provide training and guidance to new employees.
* Foster a collaborative and positive work environment.
* Clinic Operations:
* Implement and maintain office policies and procedures.
* Monitor and improve patient flow and clinic efficiency.
* Assist in marketing and promotional activities for the clinic.
* Problem Solving and Decision Making:
* Exhibit quick decision-making skills in a fast-paced environment.
* Approach challenges with effective problem-solving strategies.
* Community Outreach:
* Engage in community outreach with family doctors and other healthcare providers to build relationships and enhance patient referrals.
* Relationship Management:
* Maintain relationships with existing clients to enhance their in-clinic experience.
* Follow up with patients post-appointment to ensure satisfaction and address any concerns.
Qualifications:
* Minimum of 3 years of experience in a front desk/admin role within a physiotherapy or similar healthcare setting.
* Exceptional customer service skills with a patient-centric approach.
* Extroverted and professional demeanor with excellent communication and interpersonal skills.
* Strong organizational and multitasking abilities.
* Proficiency in Microsoft Office Suite, Google Workspace tools, and practice management software (Jane).
* Experience with MVA/WSIB billing and insurance claims.
* Ability to work independently and as part of a team.
* Leadership experience is an asset.

Pay: $19.00-$22.00 per hour
Expected hours: 20 ? 30 per week
