_*Summary of Responsibility:*_
* *CASH MANAGEMENT ?* to undertake the AP, AR, treasury, banking, invoicing, expenses, on-time government tax remittances according to company policies and procedures.
* *ACCOUNTING, FINANCIALS & REPORTING ?* to prepare daily, weekly and monthly reports and financial statements to support corporate Management, as well as Sales and Operating divisions
* *INVENTORY ?* to prepare costing, ensure the pricing is accurate & complete, monthly reconciliation make recommendations for inventory tracking and counting procedures
* *PROCESSES & PROCEDURES ?* to review, streamline create processes and notes for various roles & job functions throughout the organization.
*Duties include*:
· *Cash Flow* ? preparation of a weekly cash flow report utilizing information from the system for the AP, AR and the bank balances. Projections are done for a rolling 6 week period, analyze customer/vendor for payment terms, history & collectability to report accordingly.
· *Accounts Payable* ? build relationships with finance department counterparts with both vendors and suppliers, document review (check receipting and coding) to ensure accuracy, approve cheques and wire payments based upon the approved cash flow report.
· *Accounts Receivable* ? approves the customer billings before submitting to the customer, approves the margin on the applicable projects, Proactive Customer follow-up & collections thru sending statements, e-mails and making telephone calls, for cash receipts applies the payment in the system, updates the cheques received log, ensure that deposits are banked and monitors AR aging report,.
· *Treasury *- performs a daily review of the bank accounts for activity, prepares the daily cheque float report and the maximum availability report. This ensures there are no unauthorized transactions and that management are up to date on the cash balances and the line of credit usage/balance.
· *Gov?t Remittances* ? monthly GST/HST preparation, on line filing and remittance to ensure compliance and payment is on time. Preparation and remittance of provincial sales tax for applicable jurisdictions
· *General Accounting ?*prepare monthly bank reconciliations, review the trial balance & general ledger accounts, preparation of various schedules and reconciliations, investigate significant variances, maintain the fixed assets records, prepare the accruals for liabilities and freight.
· *Financials & Reporting *? preparation of various financial statements and reports for T-Rail including the balance sheet, income statement, financial summary, comparative analysis, sales analysis, sales reporting & monthly RBC margining report c/w AR, AP.
· *Inventory* ? monthly reconciliation of physical inventory to the GL balance, preparation & recording of inventory adjustments & transfers, inventory costing analysis to ensure pricing is accurate & complete including freight, brokerage, services and other applicable costs, assists with inventory management by preparing reports and attention directing for slow moving, consignment and recommendations for inventory levels, tracking and costing.
· *Processes & Procedures* ? review current process control notes and controls for various finance & operational areas such as AP, AR, month end, cash flow, inventory, soliciting input and making recommendations as appropriate. Create process controls, notes and audit procedures for undocumented areas.
· *Year-end* ? assist with the preparation of documents for the external review.
· *Other *? projects and duties as assigned
