\*Job Summary\*
Reporting to the Partners/Owners, and with some direction provided by the Finance Team, you will be responsible for general office administration tasks. You should be a high energy individual with a keen eye for detail. You should also be team oriented and be able to get along well with a wide variety of personalities. A spirit of flexibility is also a requirement for this role. Strong English language skills (both spoken and written) are important.
\*Responsibilities\*
* Organize staff events.
* Calendar management for senior leaders.
* Coordinate meetings for senior leaders.
* Order supplies for office & sites.
* Source unique supplies required for sites.
* Negotiate and book accommodations for operational staff as required.
* Coordinate office lunches.
* General cleanliness of reception and boardroom areas.
* Coordinate couriers (inbound and outbound).
* Receptionist duties.
* Printer supplies and stocking.
* Prepare memos.
* First point of contact for door security.
* Phone calls to confirm subcontract bidder list.
* Update Iron Maple resumes for employees (for project pursuit submissions).
* Update project profiles.
* Set-up interviews.
* Keep Employee list up to date.
* Coordinate the onboarding of new employees in Nova Scotia and arranging safety orientations.
* Business cards/v-cards/QR codes/signatures for new employees.
* Point person for new employee IT set-up in Nova Scotia.
* Receive new technology and distribute to employees (phones / computers, etc.).
* Other duties as required.
\*Requirements\*
* Proficiency in Microsoft Office Suite.
* Post secondary education in administration at the college level, or an equivalent combination of training and experience.
* Previous experience in an office setting or similar role is preferred.
* Strong organizational skills with the ability to multitask and prioritize workload effectively.
* Excellent English communication skills, both written and verbal.
* Organized, flexible, open minded, and willing to learn.
* Experience in a construction related environment is considered an asset.
