As a key team member, you will ensure the smooth operation of the front desk, providing a warm and welcoming environment to all visitors. The role requires a high level of organizational skills, attention to detail, and excellent customer service abilities.</p><p><strong>Key Responsibilities:</strong></p><ul><li><strong>Client Reception:</strong> Greet and assist clients, both in-person and over the phone, ensuring they feel welcome and comfortable.</li><li><strong>Phone and Email Management:</strong> Answer and route phone calls efficiently, respond to emails, and manage inquiries from clients.</li><li><strong>Appointment Scheduling:</strong> Coordinate and schedule appointments for notary consultations and other services using both manual and digital systems.</li><li><strong>Administrative Support:</strong> Assist in various administrative tasks such as filing, data entry, document preparation, and client follow-ups.</li><li><strong>Payment Processing:</strong> Handle payments, issue receipts, and manage client records with confidentiality.</li><li><strong>Office Coordination:</strong> Ensure the reception area is neat and orderly and maintain office supplies inventory as needed.</li></ul><p><strong>Required Qualifications:</strong></p><ul><li><strong>Education:</strong> High school diploma or equivalent (Post-secondary education in office administration or similar is an asset).</li><li><strong>Experience:</strong> Previous experience in a receptionist or administrative role is preferred.
