We are currently seeking a Staffing Coordinator to support our Management team and staff in scheduling for our growing organization.
The Staffing Coordinator organizes and maintains all employee schedules for all departments and supports Human Resources in new employee orientations, payroll, and other HR-related matters.
*QUALIFICATIONS & REQUIREMENTS:*
? Computer competency for data entry and the production of reports and schedules
* Excellent communication skills in customer service and experience working as a company team member
* Ability to fulfill the company's standards and values when performing scheduling tasks
* Display kindness and be open to providing scheduling accommodations where appropriate
* An eye for detail and excellent organization and time management skills
* Ability to work 37.5 hours a week with flexibility to change schedule as needed
* Ability to work on-call to support managers while on holidays - evenings and weekends.
* Experience as a Staffing Coordinator or similar role (an asset)
* Experience in designing effective customized HR strategies (an asset)
* Knowledge of staffing trends and best practices
* Ability to think critically and maintain a problem-solving mindset
* Valid Class 5 License and access to a vehicle for transportation
*KEY RESPONSIBILITIES AND ACCOUNTABILITIES:*
_Scheduling_
* Acquires and schedules staff coverage in order to ensure the company's best operations standards
* Plan, organize and implement sustainable staffing
* Design and plan staff schedules (e.g., master rotation) in accordance with requirements and departmental policies/procedure, ensuring enough people are staffed over nights and weekends and everyone is given their allotted hours
* Calls and schedules staff for replacement of leaves of absence and schedules adjustments.
* Maintains current seniority and priority casual lists
* Monitors anticipated overtime and approves overtime requests
* Responds to questions and inquiries from employees and managers
* Works collaboratively with managers on scheduling issues
* Inputs/updates employee information in scheduling program (Makeshift)
* Identifies errors and makes corrections
* Work with internal employees as well as external sources for temporary coverage
* Approve and schedule time off for employees and ensure vacant positions are filled to meet staffing requirements
* Create and maintain daily staffing reports, including verifying employees' work hours, requested time off, as well as job vacancies
* Report inconsistencies, job vacancies, and scheduling concerns to management to address
* Investigate company's staffing needs and take actions to staff accordingly
* Identify hard to fill roles and take proactive actions
* Provide client scheduling support to Master Scheduler if requested
_Payroll_
* Verify employee work hours with the payroll department on a routine basis to ensure payroll is disbursed accurately
* Provide assistance with payroll procedures and activities as requested
* Provides functional guidance to staff and managers on employment agreements, scheduling processes and scheduling softwares, and payroll/benefits
