*Job Overview*
KCC is seeking a highly organized, detail-oriented, and proactive *Administrative Assistant* to join our team. This role involves supporting the administrative functions of KCC, assisting with student and instructor onboarding, overseeing clinic operations, managing day-to-day communications, and providing essential support across various departments, including the Library/Bookstore and Clinic. The ideal candidate will have excellent communication skills, be able to handle a variety of tasks simultaneously, and work effectively with staff, students, and the public.
*Duties*
*Administrative Support:*
* Respond to inquiries and provide information or direct them to the appropriate departments.
* Relay messages and act as a key contact person for the school, dealing tactfully with staff, students, and the public.
* Regularly check, screen, and distribute incoming and outgoing mail, faxes, and emails.
* Perform various administrative tasks, including word processing, typing, and document preparation for forms, school programs, reports, and correspondence.
* Perform clerical duties such as mail distribution, filing, collating, sorting, duplicating, and faxing.
* Stay knowledgeable about and supportive of administrative procedures and directives.
* Receive leads, follow up on inquiries, and answer questions as needed.
* Design and compose materials and documents as required
*Clinic Support & Community Engagement:*
* Oversee clinic operations, ensuring supplies are stocked and clinics are organized.
* Assist with the planning and execution of clinic events such as Inreaches, Outreaches, and other community-based programs.
* Support public relations efforts by delivering leaflets and posters to communities, informing the public about clinics and programs, and connecting with local communities to increase clinic participation.
* Manage social media posts and ensure the public is informed about upcoming events, clinics, and programs.
*Student Events & LMS Support:*
* Assist with the creation and completion of student events, including Movie Nights, Halloween celebrations, Chinese New Year, Christmas events, and more.
* Participate in the onboarding of instructors for the Learning Management System (LMS).
* Set up classes on the LMS and complete related tasks as necessary.
* Create and maintain curriculum master folders across various programs.
* Track student textbooks and manage related purchases.
*Library/Bookstore Duties:*
* Answer telephone calls and assist with photocopying and faxing as required.
* Update the voicemail system to accommodate changes in hours of operation (e.g., holidays).
* Manage student bookings for services, including cross-checking and performing reminder calls as needed.
* Oversee treatment room management, including booking appointments for student practitioners and maintaining a daily schedule.
* Track room usage, ensure treatment rooms are stocked with supplies, and ensure laundry is folded and restocked.
* Collect service fees, provide receipts, and operate the Debit/Visa/MC machine; reconcile and balance at the end of the day.
* Manage daily petty cash and prepare daily bank deposits.
* Inspect treatment rooms regularly and notify the Administrative Director of any issues requiring attention.
