*Overview*
We are seeking a detail-oriented, dedicated and organized Medical Receptionist to join our healthcare team. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while managing the front desk operations in a very busy, fast-paced medical office environment. This role requires strong communication skills, attention to detail, and proficiency in handling various administrative tasks.
*Duties*
* Greet patients and visitors warmly, ensuring a positive first impression.
* Scheduling and confirming appointments (consultations & follow ups).
* Manage patient check-in and check out processes, ensuring accurate appointment scheduling.
* Monitor clinic schedules to ensure all appointment slots are filled.
* Answer phone calls promptly and professionally, addressing inquiries or directing calls as needed.
* Receive new referrals and triage according to established guidelines within the Clinic.
* Confirm required information and retrieve relevant information from referring source.
* Perform clerical duties, such as filing, data entry, scanning/faxing, and manage correspondence.
* Demonstrate conflict management skills, focusing on patient/customer service at all times.
* Receive, process, and provide invoice for payments from patients.
* Check/respond to emails in a timely and professional manner.
* Maintain all administrative duties to effectively operate reception desk.
Qualifications
* Medical Office Administration Diploma is required.
* *1-3* years of work experience in a healthcare setting.
* Familiarity with electronic medical records systems; experience with Med Access EMR and Jane System is an asset.
* Strong administrative skills with a focus on front desk operations.
* Ability to work well under pressure and handle difficult situations in a calm manner.
* Ability to work efficiently independently.
* Excellent organizational, time management and prioritization skills.
* Excellent interpersonal skills to interact effectively with patients and staff alike.
* Positive attitude, pleasant and professional manner in person and over the phone.
* Knowledge of medical terminology.
