Job details
Office Assistant will assist with multiple aspects of the office including customer service and administrative functions. Experience in an HVAC/Plumbing office environment is highly desired but not necessary. This individual must have a high level of interpersonal and customer service skills. Office assistant will perform regularly assigned tasks that include but are not limited to the following:Prepares new employee paperwork to foster positive attitude towards company goalsMaintains required documentation and records to meet best practicesMaintains strict confidentiality of employer, business, employee data, and other employment information Ensures the integrity and functionality of office equipment (computers, phones, printers, etc.)Aids as backup to phone answering dutiesWorks with Service Technicians to schedule follow-up appointments when neededFacilitates and maintains equipment warranty and registration with customersCoordinates and schedules inspections with customersFollows up with customers post installations to ensure customer satisfactionMay assist with billing/invoicing duties as neededREQUIREMENTS:2+ years of office/reception duties is desiredProficient computer skills - Sage 50, MS Outlook, Excel, Word, and Adobe AcrobatExcellent oral and written communication skillsAbility to manage work time to meet multiple deadlinesMaintain organized work processes, materials and filesAbility to multi taskExperience:administrative office duties and customer service/reception: 2 years (Preferred)Requires 45+ words per minuteWill have flexible work schedule
