Our current office manager is semi-retiring so we have some mighty shoes to fill! We are seeking a dedicated and organized Office Manager to oversee the daily operations of our Gimli and Arborg clinics. The ideal candidate will possess strong leadership skills and have a background in administrative functions, human resources and customer service. This role is crucial for ensuring that the clinic runs smoothly and efficiently while providing support to clients and team members.
This will be a transition position with the new manager learning the ins and outs of how the clinic runs, our scheduling system, billing insurance companies and all the fun stuff that goes with running a Physiotherapy (and More) clinic. Our currently office manager will stay on to assist with the financials to make the learning curve successful and not overwhelming.
*Duties to* *include:*
* Managing front reception, answering phones
* Booking, confirming, and changing client appointments
* Assist the patient with the account payments and account inquiries
* Submit claims to Private Health insurance, MB Health, WCB, MPI and other providers
* Managing clinic stock and ordering clinic and office supplies
* Support therapists as needed, including escorting patients to treatment rooms and setting up equipment.
* Supervise and coordinate office activities to ensure efficient operations.
* Manage administrative tasks, including scheduling clinic aide staff, maintaining records, and overseeing clerical duties.
* Handle human resources functions such as onboarding, employee relations, and performance evaluations.
* Maintain an organized front desk area, ensuring a welcoming environment for visitors and clients.
*Experience*
* Proven experience in an office management or supervisory role is preferred.
* Strong organizational skills with attention to detail.
* Experience in human resources practices and procedures is beneficial.
* Excellent clerical skills with proficiency in standard office software applications.
* Ability to train and develop staff effectively while fostering a positive work environment.
