Tasks: Open and distribute mail and other materials. Record and prepare minutes of meetings, seminars and conferences. Determine and establish office procedures and routines. Schedule and confirm appointments. Answer telephone and relay telephone calls and messages. Answer electronic enquiries. Order office supplies and maintain inventory. Arrange travel, related itineraries and make reservations. Greet people and direct them to contacts or service areas. Set up and maintain manual and computerized information filing systems. Perform data entry. Provide customer service. Send invoices. Record and relay information. Receive payments from customers. Perform clerical duties, such as filing and sorting and distributing mail. Obtain and process information required to provide customer service. Manage routine office functions including reception, telephone and booking appointments. Maintain work records and logs. Issue receipts and other forms. Operate switchboard or telephone system. Personal suitability: Ability to multitask. Excellent oral communication. Excellent written communication. Flexibility.
