We are seeking a highly organized and professional *Executive Assistant* to join our team and provide essential support to our Executive Director (ED) and leadership team.
*About the Role*
As the Executive Assistant, you will play a critical role in ensuring the smooth operation of the Executive Office. You?ll manage schedules, coordinate communications, and handle a variety of administrative tasks. This is a dynamic position that requires exceptional organizational skills, confidentiality, and a proactive approach to problem-solving.
*Key Responsibilities*
* Manage the Executive Director?s calendar, schedule meetings, and coordinate travel arrangements.
* Prepare meeting agendas, reports, and presentations; record and distribute meeting minutes.
* Act as a liaison between the ED, staff, board members, and external stakeholders.
* Organize and maintain physical and digital filing systems.
* Support planning and coordination of organizational events, workshops, and special projects.
* Assist with grant applications and funding proposals by compiling documentation.
* Monitor timelines, budgets, and deliverables for projects as needed.
* Ensure smooth day-to-day operations of the executive office, including supply management and clerical support.
*What We?re Looking For*
* *Education & Experience:* Diploma or degree in business administration, office management, or a related field; 3-5 years of experience in an executive assistant or administrative role (non-profit experience preferred).
* *Skills:* Exceptional organizational, multitasking, and communication skills; proficiency in Microsoft Office Suite and other productivity tools.
* *Knowledge:* Experience working with Indigenous communities and familiarity with Indigenous cultures, traditions, and protocols are strong assets.
* *Personal Attributes:* Professional, adaptable, culturally sensitive, and aligned with KFS?s mission and values.
