*Major Tasks & Responsibilities:*
* Manage and implement schedules with others for reporting on project tracking
* Use Deltek software platform to manage reports and track financial data (Previous Deltek not required, but would be considered an asset)
* Create and manage an effective electronic filing system
* Assist in preparing quarterly documents for Owners and company Accountant
* Assist in reconciling bank/credit card transactions
* Bank Deposits
* Filing forms and documents, and tracking status
* Monitor and maintain spreadsheets for compliance requirements
* Ensure office/general workplace is kept tidy & organized
* Ordering and organizing office supplies and equipment
* Ensure workplace maintenance contracts re fulfilled (cleaner, landscaping, snow removal, etc.)
* Making adjustments to staff schedules and updating the master calendar
* Coordinating staff meetings and/or Lunch & Learns
* Running errands (as required)
* Basic accounting and bookkeeping (as required)
*Greeting visitors and answering phones*
* Organize & Update "Library" and deliveries
* Other clerical assistance responsibilities, as required
*Summary*
As an Administrative Assistant, you will be integral to the smooth operation of our office, providing essential support to the team. Reporting to the Office Administrator, your core responsibilities will include managing data entry, scanning, filing, supporting the studio team, updating and producing reports, along with other administrative tasks as listed above. You will be responsible for general office tidiness and supplies oversight and ordering. Your strong communication and time management skills will ensure efficient handling of administrative duties. You will contribute to a productive work environment and help maintain a high standard of service. Ability to communicate in French, and experience with Deltek Vision are considered assets.
Job Type: Part-time
Pay: From $27.00 per hour
Expected hours: 8 ? 16 per week
