We take pride in recruiting the best talent available for all areas of our business.</p><p> </p><p><strong> </strong></p><p><strong>Responsibilities and Accountabilities</strong></p><p>• Provide administrative support to the General Manager, corporate leadership team and office staff (including schedules, appointments, presentations, communications and legal interaction) - ensuring that administrative matters are organized and dealt with in a professional manner.</p><p>• Responding to first contact calls and emails, directing inquiries to the appropriate staff member.</p><p>• Responsible for internal and external correspondence, including printing, sorting, scanning, faxing and photocopying of business documents.</p><p>• Assist the purchasing and accounting departments with various data entry projects, including data entry for creation for new product bills of materials (BOM's).</p><p>• Establish and maintain files and records. Continue to improve upon the existing document and record control procedure.</p><p>• Prepare reports - corporate safety reports, attendance reports, vacation reports.</p><p>• Assist the business with arranging courier shipments and deliveries.</p><p>• Manage bookings and calendar for supplier/vendor visits, lunch and learns, etc.</p><p>• Assist with office organization (monitor supplies and equipment, and purchase supplies if/when necessary)</p><p>• Support all business areas of the company as needed.</p><p>• Assist the leadership team with new hire orientation and onboarding processes. </p><p>• Support the accounting department with biweekly payroll processing through Quickbooks.</p><p>• Keep track of employee vacation and time off</p><p>• General sales support creating and sending customer quotes with the assistance of sales staff.</p><p>• Data entry in Zoho sales CRM.</p><p>• Keeping track of outstanding quotes and coordinating timely follow ups with sales staff.</p><p>• Regularly post to LinkedIn and other social media to promote the company and advance marketing strategies.</p><p>• Accounts payable administration; cheque requisitions, purchase orders, complete payments and control expenses by receiving, processing, verifying, and reconciling invoices</p><p>• Work closely with the accounting department assisting with payables, receivables and journal entries. Using Quickbooks software.</p><p>• Manage monthly office expense tracking</p><p>• Assist purchasing department with new vendor setup as required.</p><p><strong>Qualifications</strong></p><p>• Post-secondary diploma preferably in business or equivalent experience</p><p>• Intermediate to advanced knowledge of <strong>Microsoft Office 365</strong> (Excel, Word, PowerPoint, Teams), <strong>Quickbooks</strong>, <strong>Adobe Pro</strong> and/or <strong>BlueBeam</strong></p><p>• Well organized, detail oriented, outcome driven personality</p><p>• Natural problem solver who enjoys a challenge</p><p> </p><p>• Education or experience in digital marketing is an asset</p><p>• Previous customer service experience is an asset</p><p>• P
